About the Role

The Personnel Coordinator is at the heart of our HR operations. This position plays a vital part in ensuring smooth and efficient onboarding processes, maintaining accurate employee data, and serving as a primary point of communication between the HR department and staff.

You will be responsible for coordinating the scheduling of onboarding activities, ensuring new hires have everything they need to get started, and conducting contract signature meetings with professionalism and attention to detail. Your role will also involve updating employee records, preparing monthly HR reports, and supporting compliance with internal policies and labor law requirements.

Key Responsibilities

As a Personnel Coordinator, you will be expected to:

  • Coordinate Onboarding: Manage the scheduling and completion of all new hire checklists to ensure a smooth start for every employee.

  • Prepare Materials: Assemble and create onboarding documents, making sure they are accurate, professional, and up to date.

  • Facilitate Contract Signings: Organize and lead contract signature meetings with new employees while clearly explaining their rights, responsibilities, and benefits.

  • Provide Employee Support: Respond to follow-up questions from new hires, managers, and other stakeholders, offering guidance and assistance as needed.

  • Suggest Process Improvements: Actively contribute ideas for streamlining and enhancing HR processes, ensuring all documentation is current and compliant.

  • Coordinate with Banks: Arrange meetings to open bank accounts for employees as part of their onboarding process.

  • Maintain Data Accuracy: Prepare monthly HR database reports to support decision-making and compliance tracking.

  • Handle Employee Communication: Serve as a reliable point of contact for employee inquiries, ensuring clear, timely, and professional communication.

  • Prioritize Effectively: Manage multiple tasks efficiently, maintaining accuracy and meeting deadlines in a fast-paced environment.

Qualifications and Requirements

To be successful in this role, you should meet the following criteria:

  • Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

  • Experience: Minimum of 1 year of experience in onboarding coordination, personnel administration, or a similar HR function.

  • Communication Skills: Excellent communication and interpersonal abilities, with a strong focus on providing a positive and professional employee experience.

  • HR Knowledge: Solid understanding of HR policies, labor law requirements, and personnel processes. Familiarity with HRIS systems and onboarding software is a plus.

  • Attention to Detail: Strong organizational skills and the ability to manage multiple tasks simultaneously with precision and accuracy.

  • Background: Experience in a call center environment is required, as it demonstrates strong communication, multitasking, and service-oriented skills.

  • Language Skills: Excellent command of English, both written and spoken.
